What to expect from us — and what we expect from you.
These terms set out the basics of our relationship: how the service works, how billing works, what you can and cannot do, and what happens if something goes wrong.

Introduction
These terms of service govern your use of Lighthouse QIP, a quality improvement platform for early learning services. By using Lighthouse QIP, you agree to these terms.
If you do not agree, please do not use the service. We reserve the right to update these terms from time to time. We will notify you of significant changes by email or through the app.
The service
Lighthouse QIP provides tools for capturing evidence, tracking quality improvement actions, and generating reports for early years settings. The service is provided on a subscription basis with monthly billing.
We aim to keep the service available and functioning, but we do not guarantee uninterrupted access. Occasional downtime may occur for maintenance, updates, or unforeseen technical issues.
We may add, remove, or change features over time. We will communicate significant changes in advance where possible.
Your account
You must provide accurate information when creating an account. You are responsible for keeping your login credentials secure.
You may not share your account with others. Each user should have their own login. Organisations may add or remove team members through the admin settings.
You may cancel your account at any time. Upon cancellation, your data will be removed from active systems within 30 days and from backups within 90 days. You may export your data before cancelling.
Subscriptions and billing
Lighthouse QIP is billed monthly in advance. Payment is due on the date you signed up each month.
You may upgrade or downgrade your plan at any time. Changes take effect on your next billing date.
If payment fails, we will retry after 3 days. If payment continues to fail, we may suspend access until payment is resolved.
You may cancel at any time with no exit fees. No refunds for partial months.
Your data
You retain ownership of the evidence, observations, and files you upload to Lighthouse QIP. We do not claim any rights over your content.
You grant us a limited licence to store, process, and display your data solely to provide the service to you and your team.
We will not use your data for advertising. We will not sell your data to third parties. We will not share your data except as necessary to operate the service (e.g., with our hosting provider, Supabase).
You are responsible for ensuring you have appropriate consent to record and store any information about children or families in your care.
Acceptable use
You may use Lighthouse QIP only for lawful purposes related to early years quality improvement.
You may not use the service to store or share illegal content, harass others, or compromise the security of the platform.
We reserve the right to suspend or terminate accounts that violate these rules.
Liability and disclaimers
Lighthouse QIP is provided "as is" without warranties of any kind. We do not guarantee that the service will meet your specific requirements or be error-free.
We are not liable for any indirect, incidental, or consequential damages arising from your use of the service.
Our total liability for any claim related to the service is limited to the amount you paid us in the 12 months preceding the claim.
Nothing in these terms excludes liability for death or personal injury caused by negligence, fraud, or anything that cannot be excluded under applicable law.
Termination
You may terminate your subscription at any time by cancelling in your account settings or contacting us.
We may terminate or suspend your account if you breach these terms, fail to pay, or if we discontinue the service.
Upon termination, your data will be retained for 30 days in case you wish to reactivate. After 30 days, data is removed from active systems. Backups are purged within 90 days.
Changes to the service or terms
We may update these terms or change the service over time. For significant changes, we will notify you at least 30 days in advance.
Continued use of the service after changes constitutes acceptance of the updated terms.
